Gmail labels and filters
Most of us use Gmail as our web mail client. It has some of the coolest features like ever growing space, excellent search features,Filter options, pop access etc.
We get lots n lots of mail n managing all those mails is a tedious task. So lets know a good feature of Gmail that can help us to some extent in this regard.
Filters :
So what is filters all about ?
Lets look at the definition from Gmail ,
Gmail's filters allow you to manage the flow of incoming messages. Using filters, you can automatically label, archive, delete, star, or forward your mail, even keep it out of Spam -- all based on a combination of keywords, sender, recipients, and more.
First of all , lets understand what is label ?
Label in Gmail is just like a folder but it works in different way.Instead of putting mails into folders , You can attach a name i.e. label to that mail.
Gmail says,
Labels do all the work of folders and give you an extra bonus: you can add more than one to a conversation. Once you've created a label, you can view all the messages with that label by searching, or by clicking the label name along the left side of any Gmail page.
To create a Label ,
- Go to settings >>Labels.
- You can easily manage your labels from there.
To attach a label to mail(s),
- Select mail(s) to which you want to add labels
- Click on label form more actions dropdown (near delete button) which you want to attach.
- You can now see label name near subject of mail.

Now lets see what filters do ..
Filters can automate some of your mail management tasks like labeling , forwarding , deleting etc..
To create a filter,
- Click create a filter (near search the web button)
- Enter your criteria in text boxes given
- e.g. suppose you want to label all mails coming from technoyaari.com, you can provide from criteria as “technoyaari.com”
- Click on test search button to verify that your search is working properly.
- Now click next step..
- now you have to choose action for the mail which you will filter out (and optionally filtered out now)
- Action selection is almost self explanatory.
- Click on create filter .
Your filter has been created. This filter will perform action specified by you on mails that you have selected by using a criteria.
A complete Example :
Now I’m going to explain a complete procedure to create a filter for mails from naukri.com to apply label as “Naukri” and archieve them automatically.
- Create a label as Naukri
- Click on create a filter
- Add Naukri.com in from text box
- Click on next step
- Now check “skip the inbox” checkbox
- Check “ Apply the label” checkbox and select “naukri” label from dropdown
- check “also apply filter…” checkbox
- Click create filter button
